Logging in to the PMS? Get set up first with Multi-Factor Authentication (MFA)

Multi-Factor Authentication (MFA) is required for all users to log-in to the PMS.

What's MFA?

Multi-Factor Authentication (MFA) is an extra layer of security for your PMS login that requires not only a password but also a second form of verification, such as a code sent to your phone or email.

This is what to expect at the next log-in:

After logging in with your username and password or via the Google sign-in option, you will be asked to enter your one-time code that can be retrieved from your Authenticator app.

We currently support the most commonly used Authenticator Apps such as Google Authenticator, Microsoft Authenticator, Salesforce Authenticator, and Auth0 Guardian app.

Which Authenticator App should I use?

Here are some commonly used Authenticator Apps:


How to set up MFA via the Google Authenticator App:

  1. Download the Google Authenticator app (Google Play / App Store).

    1. To use this feature, you should have:

      1. Version 6.0 or above on Android

      2. Version 4.0 or above on iOS

  2. Open the Google Authenticator app on your device.

  3. Log in to the PMS and you will then be shown a screen as below:

  4. Using the Google Authenticator on your device, tap the ”+” button (usually in the bottom right corner).

  5. Click “Scan QR code” and scan the QR code from the login screen.

  6. It will create an entry called “lavanda: <your email address>" and the app will then generate a 6-digit code that changes every 30 seconds.

  7. Enter the 6-digit code shown on the app into the "Enter your one-time code" field and click Continue to verify and complete the process.

Once set up, MFA using Google Authenticator will be active. You’ll be prompted to enter the 6-digit code from the app each time you log in to your account.

If scanning the QR code doesn't work, click the "Trouble Scanning?" link, and you will be able to use the "Enter a setup key" method. Enter Lavanda as the Account Name and enter the key as shown on the screen. Once done, tap Add.

How to set up MFA via the Auth0 Guardian App:

  1. Download the Auth0 Guardian app (Google Play / App Store).

  2. Open the Auth0 Guardian app on your device.

  3. Log in to the PMS and you will then be shown a screen as below:

  4. Using the Auth0 Guardian app on your phone, tap the ”+” button (usually in the bottom right corner).

  5. Click “Scan QR code” and scan the QR code from the login screen.

  6. It will create an entry called “lavanda: <your email address>" and the app will then generate a 6-digit code that changes every 30 seconds.

  7. Enter the 6-digit code shown on the app into the "Enter your one-time code" field and click Continue to verify and complete the process.

How to set up MFA via the Microsoft Authenticator App:

  1. Download the Microsoft Authenticator app (Google Play / App Store).

    1. On your computer, go to the Security info page of your account dashboard.

    2. Select + Add sign-in method.

    3. Choose Authenticator app from the dropdown and select Add.

    4. If you already have Authenticator installed on your phone, select Next to display a QR code.

  2. Open the Microsoft Authenticator app on your device, select the plus icon, and select Add account.

  3. Select Work or school account then tap Scan a QR Code.

  4. Log in to the PMS and you will then be shown a screen as below:

  5. Using the Microsoft Authenticator on your device, scan the QR code from the login screen.

  6. Enter the code shown on the app into the "Enter your one-time code" field and click Continue to verify and complete the process.

Once set up, MFA using Microsoft Authenticator will be active. You’ll be prompted to enter the code from the app each time you log in to your account.

If scanning the QR code doesn't work, click the "Trouble Scanning?" link, and follow the on-screen instructions.

How to set up MFA via the Twilio Authy App:

  1. Download the Twilio Authy app (Google Play / App Store).

  2. Open the Twilio Authy app on your device.

  3. Log in to the PMS and you will then be shown a screen as below:

  4. Using the Twilio Authy app on your device, scan the QR code from the login screen.

  5. Enter the code shown on the app into the "Enter your one-time code" field and click Continue to verify and complete the process.

Once set up, MFA using Twilio Authy will be active. You’ll be prompted to enter the code from the app each time you log in to your account.

If scanning the QR code doesn't work, click the "Trouble Scanning?" link, and follow the on-screen instructions.

How to set up MFA via the Salesforce Authenticator App:

  1. Download the Authenticator app (Google Play / App Store).

  2. Open the app and complete the tour or go straight to adding an account.

  3. Tap Add an Account.

  4. The app will generate a unique two-word phrase.

  5. Log in to your Lavanda account.

  6. Enter the two-word phrase in the Two-Word Phrase field.

  7. Click Connect.

  8. In the Salesforce Authenticator app, review the details and confirm the connection.

How to log in to the PMS after setting up MFA:

  1. Log in to your Lavanda account.

  2. Enter either the key found on your Authenticator app ex. Salesforce uses a unique two-word phrase, Google Authenticator uses 6 numeric characters.

  3. Click Continue.

What if the PMS account is shared among individual users?

For example, [email protected] might be a general shared email address used by receptionists working different shifts to log into the PMS.

If a single PMS account is shared across multiple users, it’s important to use a secure method for managing access. A shared password manager, like Bitwarden, can help securely store and share the password among users. Additionally, you can use Google Authenticator, which is cloud-based and can be shared with multiple individuals.

While having one PMS account per user is the ideal approach to ensure better accountability and security, we understand that your operational needs may vary. If sharing an account is necessary, these tools provide a secure way to manage it.
