How to rebook a returning member

Rebook a returning member or guest in Lavanda PMS: find their existing contact, create the new booking, and confirm the Returning Guest flag. Covers a renewal handled as a new booking rather than an extension.

When a member returns for another stay, you rebook them by creating a new booking against the contact they already have. The Lavanda PMS has no Renew control, so a rebooking is one of the two ways a renewal is recorded.

 

Before you begin

  • You need permission to create bookings in the workspace.

  • The member must already exist as a contact in Contacts. Reusing that contact is what marks the new booking as a returning guest.

  • The unit or unit type must be available for the new dates.

  • Decide first whether to extend the existing booking instead. Extending keeps one booking record, and rebooking creates a second one.

  • A rebooking does not carry the earlier licence agreement or tenancy agreement across, so plan to send a new one.

 

What you need to know

  1. Go to Bookings, then select Create booking.

  2. Select the Booking type your workspace offers.

  3. In the Contact field, enter the name or email address of the member, then select their existing contact from the results.

  4. Select the Building for the new stay.

  5. Under Select commercial agreement, choose the agreement that applies, or leave No commercial agreement.

  6. Select Continue, then follow the remaining steps to set the dates, the unit and the rate.

  7. Open the new booking and confirm the member is shown as Lead guest.

  8. Go to the Bookings list, add the Returning Guest filter, and set it to Is and True to confirm the booking counts as a rebooking.

 

When would you use it

  • A member reaches the end of their stay and wants to come back for another term.

  • The renewal starts on a different date, in a different unit, or at a different rate.

  • The renewal needs its own licence agreement, its own invoices, and its own payment schedule.

  • Extending the existing booking is blocked because another booking follows it immediately.

  • The member has already checked out, so the earlier booking can no longer be extended.

 

Things to note

  • A rebooking is a separate booking record. Nothing links it to the earlier stay except the shared contact.

  • Returning Guest is worked out from the contact rather than set by hand. It is true when the lead guest has a previous booking.

  • Creating a second contact for the same person breaks the returning guest flag. Always search before creating a contact.

  • Money paid on the earlier booking stays on that booking and does not follow the member across.

  • Bookings that came from an online travel agency (OTA) channel such as Airbnb or Booking.com are managed by that channel.

  • A saved segment keeps the returning guest filter for reuse, which suits a monthly renewals round.
